Emma project managed the creation and delivery of VisitBritain’s ExploreGB familiarisation trips in 2015, 2016 and 2017. ExploreGB is VisitBritain’s flagship event providing Great British & Irish tourism suppliers and destinations with an invaluable opportunity to meet and do business with over to 300 hosted international travel buyers from 40 countries.

Through its itineraries, VisitBritain aimed to showcase the best of Britain; demonstrate ExploreGB delegate bookletaccessibility of the regions and the travel opportunities on offer; and highlight commissionable product that overseas operators can package and sell to their customers.

In response to this brief, Emma:

  • Managed the organisation and execution of 13 (2015), 15 (2016) and 17 (2017) multi-day familiarisation trips around Britain, liaising with destination managers to first create itineraries and then with suppliers to secure their involvement
  • Worked closely with VisitBritain Overseas Managers to ensure itineraries matched the priorities of buyers from their respective countries. Remained in contact with colleagues throughout the organisational phase to inform them of progress and answer any questions
  • Devised a staff information pack for each Fam trip which provided itinerary details, addresses and contacts to assist the VisitBritain teams leading the groups. Provided a briefing to each Country Manager to ensure they were clear on operational aspects of visits
  • Worked with colleagues to create bespoke delegate booklets for each of the fam trips which provided an introduction to the regions featured, the tour itinerary and a supplier directory
  • Devised a project plan to enable every element of the fam trips to be tracked from initial booking through to confirmation
  • Created and maintained an individual budget sheet for each fam trip and ensured spend remained on target
  • Took the lead in providing operational support to VisitBritain Country Managers whilst they escorted the groups around Britain
  • Part of a team delivering the ExploreGB event on 25 & 26 February 2015 and 3 & 4 March 2016 and 1 & 2 March 2017
  • Carried out financial administration requesting purchase orders for suppliers and processing invoices

HBM Familiarisation Trips

Purple Sunflower was approached by VisitBritain in November 2013 to project manage its Hosted Buyers Marketplace familiarisation trips. VisitBritain was inviting over 200 top buyers of British product, from 30 international markets, to take part in visits across Britain in March 2014.

Through its itineraries, VisitBritain aimed to showcase the best of Britain; demonstrate accessibility of the regions and the travel opportunities on offer; and highlight commissionable product that overseas operators can package and sell to their customers.

In response to this brief, Purple Sunflower:

  • Managed the organisation and execution of 7 multi-day familiarisation trips around Britain, liaising with destination managers to first create itineraries and then with suppliers to secure their involvement
  • Worked closely with VisitBritain Overseas Managers to ensure itineraries matched the priorities of buyers from their respective countries. Remained in contact with colleagues throughout the organisational phase to inform them of progress and answer any questions
  • Devised a staff information pack for each Fam trip which provided itinerary details, addresses and contacts to assist the VisitBritain teams leading the groups. Provided a briefing to each Country Manager to ensure they were clear on operational aspects of visits
  • Supported colleagues with the arrangement of 6 further trips, including attending regular project meetings to discuss progress and any issues
  • Devised a project plan to enable every element of the fam trips to be tracked from initial booking through to confirmation
  • Created and maintained an individual budget sheet for each fam trip and ensured spend remained on target. Flagged areas of overspend to Event Manager where necessary
  • Took the lead in providing operational support to VisitBritain Country Managers whilst they escorted the groups around Britain, including welcoming delegates on arrival at London Heathrow
  • Part of a team delivering the Hosted Buyers Marketplace event on 17 & 18 March 2014
  • Carried out financial administration requesting purchase orders for suppliers and processing invoices
  • Thanked destinations and suppliers for their support post-event
  • Devised a staff survey to gather feedback from VisitBritain group leaders about the fam trips to assist future planning
